TITLE: Program Assistant – County Medication Clinics
PAY SCALE: $10-$14.42/HR
QUALIFICATIONS:
1. Minimum High School Education.
2. Minimum of two (2) years experience working in an office environment.
3. Prefer previous medical office experience.
4. Experience working with Mentally Ill population a plus.
5. Ability to create, organize and manage all front office systems.
6. Ability to utilize a computer and enter data as requested.
7. Ability to interact with clients, program staff, physicians, or departments and outside agencies in a professional manner.
8. Ability to handle multiple demands in a calm, controlled manner.
9. Ability to deliver “excellent” customer service to all clients enrolled in the clinic.
10. Ability to multi-task in a high volume situation.
11. Must be coach able, enthusiastic, decisive, and directed.
12. Ability to work independently.
GENERAL RESPONSIBILITIES: Responsible for providing clerical support to the Program Manager, Physicians and Mental Health Specialists. Responsible for setting up and implementing office systems to facilitate the smooth flow of the front office and lobby activities. These activities include coordinating patient referral, patient appointments and patient tracking throughout the clinic system, greeting patients and visitors along with answering phones.
RESPONSIBLE TO: Program Manager
CLASSIFICATION: Non-Exempt
SPECIFIC RESPONSIBILITIES:
- Deliver "excellent" customer service to all clients, referral sources, physicians and staff.
- Process correspondences as requested by the Corporate Administrator and Program Manager.
- Collect daily payments from clients accordingly.
- Work daily with billing personnel to ensure that all clients seen have the required insurance/authorizations prior to sending them into see the Physicians or Clinicians.
- Coordinate all client appointments with scheduled physicians.
- Answer and screen all telephone calls. (take complete messages i.e. name, date, telephone #, and always list name of client people are calling regarding)
- Never leave customers on hold for more than 30 seconds.
- Pull messages off of the answering machine minimum of (3) times a day 8:30am/12noon/4pm. Record all messages onto phone pad.
- Greet all guests and visitors that come into the clinic.
- Ensure that all guests and visitors “sign-in” upon entering the office.
- Always keep Program Manager or Corporate Administrator posted on clients that are experiencing a long waiting period in the lobby.
- Maintain front office and lobby. (Ensure things are in order, clean and keep coffee made throughout the day.)
- File charts at the beginning or end of each day. (Never leave charts out!)
- Enter new client information into the computer and/or updated information on clients daily.
- Create, organize and manage all front office systems.
